Ethicspro offers the following “hotline” services provided through our data centres here in Ireland, some are self explanatory and others are described in more detail, but they all facilitate us acting on your behalf to receive reports, enabling you to comply with your organisations code of ethics and conduct or because you wish to provide the service as a result of legislation such as SOX in the United States, or the UK Bribery Act

As a client of Ethicspro, your organisation, can receive a dedicated number to have calls answered by trained members of our team. The number can be a free phone (1-800) or any type of number you choose. It is a matter for organisation to then communicate that number to all representatives of your organisation. We have all the materials to help you do that too!

It’s important that employees or organisation representatives know that the number is not an emergency number, and so the way you communicate the service is essential, but that is why we are here, to assist you in delivering your corporate message of responsibility

In promoting the security of the service and indeed establishing the trust of employees, Ethicspro will arrange the company specific phone number on your organisations behalf.  The caller to the service is asked to give as much detail as necessary in order to help us report the concern to you, we log the call, and present the information to you, and in gathering as much information as possible about the concern, ideally resolve the matter quickly and efficiently.

No matter where your location, we have a solution for you, if you have multiple organisations or sister companies in different country’s we have a solution that fits.

Our telephone service is provided for those that wish to remain anonymous, also sometimes a person may just want advice on a course of action to follow, examples of where people may seek advice are in respect of the acceptance of gifts, perceived conflicts with a competitor or they consider that management has not listened.

In our experience people use the service because they realise it is independent and Ethicspro is objective and unbiased. The service will be used where;

·          A work place concern requires management’s immediate intervention.

·          It is inappropriate to bring a work concern to a superior because of a potential conflict of interest

·          The user of the service fears for their position in the organisation, that they may be intimidated or dismissed

·          Internal reporting structures have not addressed issues

The Service is not an emergency helpline nor should it be used to report immediate threats to the health and safety of others, in such circumstances the emergency services in the area should be contacted.

WEB Solution

The primary diver of our internal reporting solution is the web based system, which facilitates report creation and a dialog between Ethicspro (on your behalf) and the person making the report. We are proud of our commitment to corporate governance and transparency, and as a client of Ethicspro you will be too.

For your stakeholders we make communication as easy as possible, they simply select your organisation in the dropdown menu, they agree that they will make a report in good faith and be truthful, and then simply communicate their concern.  As an organisation you may want certain information gathered, you defiantly will want specifics, but you will not want problems escalating, you will not want to leave the organisation open to litigation and that is why you will choose Ethicspro to handle your reporting for you.

Should an internal investigation be warranted by the creation of a report, we can assist you with that too. That’s because when a person makes a report, we encourage them to come back and check on its progress, and they can do that with total anonymity, they are safe, and confident in knowing they are dealing with an independent third party such as Ethicspro

And yes we also provide a mail service of the old tradition; we will receive documents, letters and faxes to our headquarters on your behalf, this can be discussed with you where we can tailor make a package that suits you
